Managing Clients

Your clients are at the heart of everything you do. Salonnare keeps all their details, visit history, and preferences in one place — so you always know exactly who's sitting in your chair.

Finding a client

  1. Go to Clients in the sidebar.
  2. Start typing in the search bar at the top.
  3. Search by name, email address, or phone number.

Results appear as you type, making it quick to find who you're looking for.

Adding a new client

  1. Go to Clients.
  2. Click Add client.
  3. Fill in their details:
    • Name — First and last name.
    • Email — For booking confirmations, receipts, and marketing.
    • Phone — A mobile number for contact.
    • Date of birth — Optional, but useful for birthday messages.
    • Address — Optional.
  4. Click Save.

That's it — they're in your system and ready to book.

Clients are also created automatically when someone books through your online booking page. Their contact details are saved from the information they enter during booking.

Viewing a client's profile

Click on any client to open their full profile. Here you'll find:

  • Contact information — Name, email, phone, and address.
  • Appointment history — Every past and upcoming booking, so you can see what they had done and when.
  • Financial overview — How much they've spent, any outstanding balance.
  • Loyalty points — Points earned and redeemed (if your loyalty program is active).
  • Packages — Any service packages they've purchased and remaining credits.
  • Notes — Internal notes your team can add and reference.

Adding notes

Notes are a great way to remember client preferences, past conversations, or treatment details.

  1. Open the client's profile.
  2. Go to the Notes section.
  3. Type your note and click Save.

Notes are visible to your whole team, so everyone stays informed.

Alert notes — important warnings

Some information is too important to miss. If a client has an allergy, a medical condition, or any special requirement, you can set an alert note.

  1. Open the client's profile.
  2. Find the Alert note field.
  3. Type the warning (for example, "Allergic to latex gloves" or "Sensitive scalp").
  4. Save.

Alert notes appear in bright orange whenever anyone creates or edits a booking for that client. They're impossible to miss.

Always add alert notes for allergies or medical conditions. This protects your clients and your team.

Labels

Labels help you organize and identify clients at a glance. You can create labels like:

  • "VIP"
  • "Pregnant"
  • "New client"
  • "Birthday this month"

Add labels from the client's profile. They appear as colored badges in the client list, making it easy to spot important groups.

Editing client details

  1. Open the client's profile.
  2. Click Edit.
  3. Update whatever you need.
  4. Click Save.

Changes take effect immediately.

Deleting a client

If a client asks to be removed from your system:

  1. Open their profile.
  2. Click Delete client.
  3. Confirm.

The client is hidden from your lists immediately, but their data enters a 30-day grace period before permanent deletion. This gives you time to undo it if it was a mistake. See Privacy and GDPR for more details.

Exporting your client list

Need a copy of all your client data? You can export it as a spreadsheet:

  1. Go to the Clients list.
  2. Click Export.
  3. A file downloads with all your client information.

This is only available to admin users.
