Switching from other software
Switching from another salon software? The migration wizard brings over your clients, services, products, appointments and time off in one go, with per-file detection, a mapping you can always adjust yourself, and a mandatory dry run before anything is saved.
Where to find the wizard
- Go to Settings.
- Open the Import section.
- Choose Switching from other software.
Only an administrator can import.
What do you bring over?
- Clients -- name, email, phone, address, date of birth, loyalty points and more.
- Services -- name, duration, price, category.
- Products -- name, price, purchase price, stock, SKU.
- Appointments -- linked to the client and service(s), with status and notes.
- Time off -- leave and other blocks in the calendar.
The wizard also recognises a staff file, but only uses it to match names on appointments and time off -- no staff members are created automatically. Add your staff yourself under Settings, Staff first; the import then links appointments by name.
What doesn't come over?
Payment details (card numbers, IBAN, CVV and similar) are never imported, even if a column contains them. Such columns are automatically blocked and cannot be mapped.
Treatment reports and consultation forms don't come across this way. A file that looks like it contains health data (for example based on the filename or column headers such as allergies, medication or pregnancy) is rejected on upload. That data belongs in the secured health vault, with its own consent per client. If you do map a column to a client's notes field, Salonnare automatically filters out text that looks like health data from those notes -- please double-check yourself too.
Export steps per provider
Salonized
In Salonized, go to Settings, General, Data export and request the lifetime exports for clients, appointments and absences. They're prepared in the background and stay available for fourteen days. Download them as CSV.
Timely
In Timely, go to Reports, choose the report and export it as CSV. Want everything at once? Request the full export via the help form; it can take up to 48 hours and is delivered through a separate portal. Download all files at once -- clicking them individually produces unusable files.
Fresha
Clients: go to Clients, Clients list, Options and download as Excel or CSV (you need the "Can download clients" permission). Appointments: go to Sales, Appointments, set a wide enough date range and export as CSV. Note: the Customize button lets you choose which columns are included -- keep as many as possible.
Other software
Using a different provider (for example Phorest, Booksy, Mindbody or Treatwell)? Choose Other software in step 1. Nothing is guessed then -- you map the columns yourself, and that works with any CSV or Excel file.
The seven steps
Step 1 -- Choose a provider
Choose your provider, or Other software if it's not listed.
Step 2 -- Export
The instructions for your provider, with a warning that the date range is often set too narrow by default -- widen it to include your full history.
Step 3 -- Upload
Upload your export files (CSV or XLSX, up to ten files at a time). No need to sort anything -- the wizard detects what's in each file.
Step 4 -- Detect
For each file you see whether it was recognised and what kind of data it contains (clients, appointments, ...). If a profile was used, you'll see a beta notice: check the mapping in the next step.
Step 5 -- Map columns
Review and adjust the mapping between your columns and the Salonnare fields. Payment columns aren't listed here -- they can never be mapped.
Step 6 -- Dry run
The dry run is mandatory: nothing is saved yet. You see exactly what would happen -- how many new, updated and skipped. If you then change anything about a file or mapping, you'll need to run the dry run again before you can import for real.
Step 7 -- Result
After Import for real you see the same counts, plus your previous import reports from this salon.
The profile is beta
Every provider profile (Salonized, Timely, Fresha) is and remains beta. Providers can change their export at any time without notice, so always review the mapping in step 5 -- you can adjust anything there. Does something look off? Email your export file to support@salonnare.com and we'll improve the profile.
Does this send email to my clients?
No, none at all. Every imported appointment is marked as handled, so no reminder, confirmation or review request follows it up. This also applies to the birthday email for imported clients: it's skipped for the current year.
Can I run it again?
Yes. Uploading the same files again is safe: clients, services, products and appointments that already exist are recognised and skipped (or updated for clients and products) instead of being duplicated.
Frequently asked questions
My file is too large or has too many rows. Export by year and import the files one after another.
I have an old .xls file. We can't read that binary format. Open the file and save it as .xlsx or as CSV.
My appointments file can't find the client. Also upload your clients file, or map a column with the client's email address in step 5.
