Connect your calendar to Google, Outlook or Apple

Put your Salonnare appointments in the calendar you already have open all day. You get a personal link with only your own appointments, and you decide how much it shows.

Connect your calendar to Google, Outlook or Apple

You can have your Salonnare appointments show up in the calendar app you already use. Handy when you want to check your week on your phone without opening Salonnare.

The link works one way: from Salonnare to your calendar app. Changes you make in Google or Outlook do not come back into Salonnare. That is on purpose, and your calendar app enforces it too: a subscribed calendar cannot be edited there.

  1. Go to Settings, group Account, and choose Calendar link.
  2. Click Turn on calendar link. You get a personal link.
  3. Copy the link straight away and add it to your calendar app (see below).

The link is yours alone and only contains your own appointments: the ones where you are the staff member, or where one of the treatments is assigned to you.

You only see the link once. Salonnare does not keep it in readable form, so nobody can retrieve it from the system later. Lost it? Click Create new link. The old link then stops working.

Google Calendar: open Google Calendar on a computer, click the plus next to Other calendars on the left, choose From URL and paste the link.

Outlook: choose Add calendar, then Subscribe from web, and paste the link.

Apple Calendar: choose File, then New Calendar Subscription, and paste the link. Set the refresh to 5 minutes right away; that is the fastest of all calendar apps.

On your phone or tablet you can also use Add directly to Apple Calendar or Outlook. That opens your calendar app with the right link already filled in.

How quickly is the calendar updated?

This is the most important thing to know, because you cannot change it:

  • Google refreshes a subscribed calendar only one to three times a day. There is no button to speed that up.
  • Outlook usually takes a few hours.
  • Apple Calendar you can set to five minutes yourself.

So the link is great for "what does my week look like" and not suited for "something just changed for this afternoon". If something moves today, calling or messaging is still fastest. For the current picture, look in Salonnare itself.

The calendar shows your appointments from the past two weeks up to four months ahead. Cancelled appointments disappear at the next refresh.

What appears in the calendar?

You choose how much is visible:

What never appears, whichever choice you make: notes, internal notes, phone numbers, email addresses, amounts and anything from the health vault.

Think about this for a moment

If you choose full client names, those names and the appointment times go to Google or Microsoft, and they keep them in their own systems. That only stops when you cancel the subscription and create a new link or turn the link off.

If you do not want that, choose Treatment and initials or Only that you are busy. You can change it at any time; it is updated at the next refresh.

Click Create new link. The old link stops working immediately.

Note: you cannot withdraw a subscription at Google or Outlook. Whoever had the link keeps it, but it returns nothing once you create a new link. Then set up the subscription in your own calendar again with the new link.

The settings screen also shows when the link was last fetched and from which address. If that looks unexpected, create a new link.

Click Turn off calendar link. Your subscription stops updating. Remove it from your own calendar app as well, otherwise the last state stays there.

An appointment in your client's calendar

Separately from this, a client receives a calendar file with the confirmation, change or reminder email, plus links to add the appointment to Google Calendar or Outlook. You do not need to set anything up for that; it happens automatically.
