Gift Cards

Gift cards are one of the best ways to bring new clients through your door. When someone buys a gift card for a friend or family member, you get a new visitor who might become a regular. Here is everything you need to know about selling and managing gift cards in Salonnare.

Selling a Gift Card

Gift cards are sold through the register (POS). Here is how:

  1. Open the POS from the sidebar.
  2. Look for Gift card in the product list, or type "gift card" in the search bar.
  3. Enter the amount the customer wants to load onto the card.
  4. Fill in the recipient's name (optional).
  5. Fill in the recipient's email address (optional but recommended).
  6. Complete the payment as you normally would.

If you entered an email address, the recipient automatically receives a beautiful email with their unique gift card code. If you left the email blank, the code is printed on the receipt instead -- perfect for handing over in person.

Selling gift cards makes a great upsell during the holiday season. Consider displaying a small sign at your checkout area reminding clients they can buy gift cards!

Enabling QR Codes on Gift Cards

Want to make redeeming even faster? You can add a scannable QR code to the gift card email.

  1. Go to Settings.
  2. Open Feature Toggles.
  3. Turn on Gift card QR codes.

From now on, every gift card email includes a QR code that you can scan at checkout. Clients can still use the text code if they prefer.

Redeeming a Gift Card

When a client wants to pay with their gift card:

  1. Open the POS and add the services or products to the order as usual.
  2. At checkout, click Gift card.
  3. Scan the QR code or type in the code manually.
  4. The gift card balance is applied to the order.

If the order costs more than the remaining gift card balance, the client simply pays the difference with another payment method. If the order costs less, the leftover balance stays on the card for next time.

A gift card can be used across multiple visits. The balance keeps going down until it reaches zero.

Checking a Gift Card Balance

There are two easy ways to look up how much is left on a gift card:

  • From the client section: Go to Clients, then open the Gift Cards tab. You will see all gift cards with their current balance.
  • From the register: In the POS, click Gift card and enter the code. The current balance is displayed before you apply it.

Setting an Expiry Date

By default, gift cards never expire. If you would like them to have a time limit:

  1. Go to Settings.
  2. Under General, find Gift card validity (months).
  3. Enter the number of months (for example, 12 for one year).

The expiry date is shown on the gift card email so the recipient knows how long they have to use it. Once a gift card expires, it can no longer be redeemed.

Changing the validity period only affects newly sold gift cards. Gift cards that were already sold keep their original expiry date (or no expiry if none was set).

Viewing All Gift Cards

Want a full overview of all gift cards you have sold?

  1. Go to Clients in the sidebar.
  2. Open the Gift Cards tab.

Here you can see every gift card along with its status (active, fully redeemed, or expired) and remaining balance. Use this to keep track of outstanding gift card value.
